Vehicle logbooks
A logbook should be issued exclusively to each SC owned vehicle and contains all the service
and maintenance history of the vehicle.
The designated driver of the vehicle must ensure that the log book is present and updated
whenever maintenance work is carried out on the vehicle.
Log Sheets
Log sheets should be carried in all SC vehicles - owned or hired.
ALL journeys must be recorded on the logs sheets by whoever is driving the vehicle.
Journey Details: It is normally only necessary to fill in details of the complete journey and not
stop along the way, except when the journey takes more than one day when a daily entry will
be required. For short journeys around town one entry per day is normally sufficient except for
a change of driver.
From: The starting point of the journey.
To: The end point of the journey, ie returning to the office or stopping point at the end of the
day if the vehicle does not return back on same day.
Project: This is the project or department, for whom the journey is undertaken.
Kilometre Readings: To be noted at the beginning and end of each journey or day. The 'end'
reading for the previous day should correspond with the 'start' reading for the current day.
There should be no gaps.
Kilometres travelled: Calculated from the kilometre reading in the previous columns. If the
journey was for project or business use the amount is put under 'SC USE'. Kilometres
covered for personal use of vehicles is put under 'PRIVATE USE'.
Fuel: All fuel put into the vehicle must be entered into the fuel columns, both the amount and
the cost.
Oil: The amount of oil put into the vehicle must be added to this column.
Misc. on road: This includes the cost of oil or any other vehicle related expense: expenses
such as tyre repairs, parking etc. The driver must sign for each journey undertaken. Before
the start of each journey authorisation should be obtained.

Fuel
Consumption of Fuel for all vehicles will be monitored by the Logistics Officer.
You will be held responsible for ensuring that your vehicle is properly refuelled and
that there is no wastage or unaccountable discrepancies.
Vehicles should never have less than a quarter tank of fuel before refuelling.
Vehicles should be full before departing on journeys outside the town limits.
Servicing and Maintenance
All SC vehicles, owned and rented, must be serviced at regular intervals. It is every driver’s
responsibility to know what the intervals are and to advise their Logistics Officer when their
vehicle’s service is due.
Details of service requirements for SC owned vehicles are found in the Vehicle log book.
For hired vehicles the Owner is responsible for all repairs and maintenance as stated in the
rental contract.
Servicing and repair work can only be carried out on vehicles if the Logistics Officer has
approved the work to go ahead, and released the vehicle to be serviced.
For SC owned vehicles the Logistics Officer will issue an order instructing the workshop of
what work will need to be carried out. For hired cars the Logistics Officer will release the
vehicle to the owner for repair and maintenance.
The designated driver of that car should inspect the work as it is carried out and test the
vehicle to be sure the work has been done and any faults have been rectified.
Once this has been checked the Logistics Officer must also inspect the work and sign off.
Faults
If a fault develops in your vehicle, between service intervals, you must inform the
Logistics Officer immediately.
A fault report will need to be filled out detailing the fault. Details must also be recorded in the
vehicle logbook. The Logistics Officer will decide whether the vehicle has to be repaired
immediately or can continue to work until the next service.
Logistics Officer must record their decision in the fault report and vehicle logbook and sign
and date the record.
